Council Resolutions indexes

Series consists of Council resolutions indexed alphabetically by subject with pertinent resolutions numbers listed after each topic. Resolutions that arise from regular and executive council meetings are numbered consecutively on an annual basis. For the year 1952, the Council resolutions are arranged according to name, place and department; in subsequent years, they are alphabetized by subject. The indexes were made by the Clerk?s office contemporaneously with the minutes using their own indexing vocabulary.

The indexes take the form of bound volumes until 1962, 3?x5? index cards for the years 1963 to1982 and small thee ring binders for 1983-1990.

The series consists of colour and black and white photographs of students at the preschool and on field trips.

Clerk's Office files

Series consists of Clerk?s correspondence arranged alphabetically by subject. Subjects range from permit applications, auctions, air pollution, budgets, electrical and water service, elections, finance, garbage disposal, the Historical Society, insurance claims, the library, parks, public hearings, schools, recreation, superannuation, voters? lists, tax assessment and zoning. Alphabetic miscellaneous files proceed each letter block and in some years as a block of ?miscellaneous A-Z? files are located together at the beginning of annual block.

Earliest material was filmed in 1961 and subsequent filming was done roughly on an annual basis. Filming was done in batches, with closed files pulled for filming and active ones carried forward to the next year. Specific titles of filmed files are listed along with
notes regarding their annual status (i.e. pulled or brought forward), in a series of annual indexes. An index to the individual microfilm reels was created in the 1990s.

Regular Council Minutes

Series consists of Council meeting minutes, the official record of the discussion and decision-making activities of the governing body of the City of Coquitlam and its predecessors (The District of Coquitlam and the Corporation of the District of Coquitlam). The minutes address all aspects of local municipal government, including municipal taxation, land and building regulation, public health, safety, culture and recreation, and public works. Confidential or sensitive issues are addressed in Executive (Closed) Council meetings, the minutes of which are maintained as a separate series.

People files

The series consists of Columbian Newspaper clippings, B&W photographs, press releases, and other records arranged by person. The files were created by Columbian staff members for reference purposes.

Crime Prevention and Community Policing Committees

The series consists of records relating to Russell Hellard's participation on the Crime Prevention Committee and later the Community Policing Committee. Hellard was Chairman of the Crime Prevention Committee from 1989-1991 and was Chairman of the Community Policy Committee from 1992-1994. A re-direction dictated from the RCMP in Ottawa changed Crime Watch to Community Policing Committees. Records include Annual Reports, committee meeting minutes, Chairman's reports, notes, and photographs. Records also pertain to the establishment, inauguration, and management of the Tri-City Community Crime Prevention Services Centre, and the activities of police officer Eric Chan, who founded the program.

BC Summer Games

The series consists of records relating to the BC Summer Games which were held in Coquitlam in 1991. The records include minutes of the Photography Sub-Committee, pamphlets, copies of The Spirit newsletter that was prepared for the Games, detailed notes relating to Hellard's participation in photographing the Games at the request of Craig Hodge, records relating to recruitment of volunteer photographers, and a few photographs of the Games.

Second World War Records

The series primarily consists of photographs taken of Russell Hellard and by Russell Hellard while serving in the Canadian Army during the Second World War as part of the No. 1 Wireless Signal Group of the Royal Canadian Corps of Signals. The series also includes a copy of Russell Hellard's military personnel file acquired from Library and Archives Canada, as well as some loose assorted documentation collected during his service. Finally, the series includes a copy of "Journey Down Under," a memoir written by George L. Drummond; a souvenir booklet about the history of the Number One Canadian Special Wireless Group; and a published book entitled, "The Invisible War: The Untold Secret Story of Number One Canadian Special Wireless Group," by Gil Murray.

Public Hearing minutes

Series consists of the minutes of public hearings that usually concern zoning law changes. Public hearings are open to the public and are attended by the Mayor and Council and appropriate staff including the Planning Director, Municipal Engineer, Municipal Clerk and their deputies. Arrangement of the records is chronological. Prior to 1978, public hearing minutes were kept as part of Committee and Commission minutes, and began in 1959.

Zoning and land use legislation cannot be adopted without a public hearing to address their possible effects on property owners. The minutes are the legally required reports on these hearings.

Records of Lumber Companies and Mills

The series consists of records pertaining to various lumber companies and their subsidiaries that operated in the Coquitlam area and in British Columbia. The records include financial journals, timber records, workplace accident ledgers, sales records, accounts journals, financial statements, and the Crown Zellerbach company newsletter from 1957 to 1986.

The series consists of administrative records including minutes relating to the Coquitlam Heritage Society as well as minutes, reports, and correspondence relating to the development and renovations of Mackin House and Heritage Square. The series also includes plans for the restoration of Mackin House from 1993.

Riverview Hospital Publications and Communications

This series consists of publications and communications created by Riverview Hospital and related agencies, including the titles Association News - News of the Essondale Branch of the B.C. Government Employees Association; Connections; Insight - Riverview Hospital Staff Newsletter; the Leader; Mental Health Branch Newsletter, Mental Health Services News, Outasight, Riverview Hospital Review, the Provincial and the Riverview Hospital Volunteer Association.

Record types include letter size booklets and photocopies of publications.

News Clippings

This series is the clipping collection accrued and maintained by the Riverview Hospital Historical Society. It includes original and copied newspaper clippings related to Riverview Hospital. This series also includes correspondence from the office of the Executive Director of Riverview Hospital on the topic of specific news articles and events. Record types in this series include newspaper clippings, photocopies, printed website content, one scrapbook, and one poster.

Photograph Collection

The series consists of photographs from various photographers donated to the Coquitlam Heritage Society by various donors. The photographs feature the following: early life in Maillardville; workers, housing, and machinery at Fraser Mills; renovations of Mackin House; events at Mackin House; houses in Maillardville; and various locations around British Columbia (taken by photographers W.J. Moore and Richard Broadbridge).

The series consists of photographs of the opening ceremonies of the BC Summer Games held in Town Centre Park on July 25th, 1991, during Coquitlam's centennial year.

Pioneer Tales Book Committee photographs

The series consists of records produced and accumulated as part of Craig Hodge's duties on the Pioneer Tales Committee Book Committee. The series includes photographs in the form of copy negatives and prints, as well as some original prints, and assorted documentation.

Administrative Files

The series consists of the administrative files of the Pioneer Tales of Coquitlam Committee related to the preparation of the book, "Coqutilam 100 Years: Reflections of the Past," published by the District of Coquitlam in 1991.

The series consists of photographs of Fraser Mills employee meetings, social activities (golf tournaments, dinners), and wood products.

The series consists of records pertaining to Hoy-Scott Watershed Society's (HSWS) incorporation, administration, and operation. It includes HSWS's certificate of incorporation, constitution and bylaws, as well as records documenting the organizational structure, procedures, and history of HSWS.

A large portion of the series consists of meeting agendas, minutes, and correspondence accumulated between 1995 and 2020. The series also contains yearly financial statements, funding applications, certificates, licenses, and correspondence relating to water rights and construction of the hatchery buildings.
